It can feel difficult to contact a parent or caregiver about a concern with learning, attendance, behaviour or friendships. You may be unsure how to begin, and a family may hear the message as blame. The purpose is not to decide who is at fault; it is to understand what is happening for the student and agree on one practical next step.
Prepare these five things before you reach out
Write your purpose in one sentence
“The student is lazy” is not a purpose. “In the last two weeks, the student has needed help to begin independent maths work; I want us to identify which support helps” is specific.
Gather neutral, specific examples
Note the date or lesson, what you observed, how often it happened, its impact, what support you tried and how the student responded. Avoid generalizations such as “always” or “never.”
Notice a genuine strength or interest
Share one real example of something the student does well alongside your concern. This does not minimize the issue; it keeps the student from being reduced to a problem.
Choose the right time and channel
For sensitive concerns, use a phone call or private meeting when school policy allows. Use email or messaging to arrange the conversation rather than sending sensitive details or information about other students.
Ask about language, timing and access
Ask what language and time are comfortable for the family. Arrange a qualified interpreter through the school when needed; do not use the student to interpret a sensitive conversation.
First message: a meeting request template
Ask to talk without putting sensitive details in writing
Hello [parent/caregiver name],
I’d like to speak with you about how we can support [student’s name] with [subject or situation]. I can share one specific thing I have noticed in class, and I’d also like to hear what you have noticed at home. Would [option 1] or [option 2] work for a call or meeting? Please tell me if another time or language would be more comfortable.
Thank you,
[Your name and school contact method]
Use a six-part structure for the conversation
- Start with a shared goal: “We both want [student] to feel safe and keep learning.”
- Name a genuine strength: Give an example you have observed.
- Explain the concern clearly: Describe when it happens and what you observed. Avoid labels or guessing at intent.
- Ask for the family’s view: “What are you noticing at home?” or “Is there anything else I should understand?” Then listen without interrupting.
- Agree on one small plan: Write what the school will try, what support the family can offer and what to tell the student.
- Set a follow-up date: “Let’s review what helped on [date] in two weeks,” and confirm who will make contact.
How to raise the concern: before and after
| Instead of… | Try… |
|---|---|
| “Your child is very lazy.” | “In three independent writing tasks last week, [student] needed help to write the first sentence. Could we look together at what might make the first step easier?” |
| “He always disrupts class.” | “In two lessons this week, he called out several times while others were speaking. He was able to rejoin after I reminded him of our class signal. Have you noticed anything similar in other settings?” |
| “You need to read with him at home.” | “Would ten minutes of shared reading be manageable? If not, let’s think of another way that fits your family’s routine.” |
| “This is your last warning.” | “If this happens again, the school’s policy sets out the next step. First, let’s try this support plan this week and speak again on [date].” |
If the conversation becomes tense
If there is shouting, a threat or a safety concern, do not continue alone. Pause respectfully and follow the school’s complaint, safety or leadership procedures.
Send a short follow-up after the meeting
Summarize the agreed facts, what the school will do, what support the family chose, what to tell the student and the review date. Invite the parent to correct anything they understood differently. Then follow through on what you agreed to do.
Prepare a small practice resource to share with families
Once you have identified a learning goal in the conversation, The Curiosi AI Quiz & Flashcard Maker can help create a short set of practice questions or flashcards for the student’s class. Check the questions, answers and language, and suggest only a small activity that fits the family’s routine. Member courses are a separate membership benefit.
